Job Description

Primary Responsibilities

  • Open Front Desk on a timely basis (phones and check in)
  • Answer incoming calls to main switchboard. Transfers call or take appropriate messages.
  • All phone messages must be addressed daily.
  • No messages left for the next day.
  • Greet patients and provide patient intake forms.
  • Check in patients in a timely manner.
  • Collect patient intake forms and review and prepare for Medical Assistant within a timely manner.
  • Check patients in and out.
  • Monitor email and route accordingly daily.
  • Charts pulled with printed messages given to the Provider.
  • Confirm daily appointments 48 hours in advance.
  • Phone, text, and monitor patient confirmation software system.
  • Receive incoming packages and deliveries. Arrange for timely routing to appropriate individual.
  • Receive incoming faxes, distribute to intended recipient. Send faxes as requested, follow-up and return fax confirmation when received.
  • Check for referrals and collect financial responsibility from patients.
  • Verify with the patient the insurance and update all pertinent information as needed.
  • Manage and schedule patient appointments on software program. Ensure the schedule is full and functional.
  • Preparation of charts for next day (Back Up)
  • Follow up with No-Shows to reschedule.
  • Manage inventory of Front Desk supplies & Kitchen supplies

 Other Responsibilities

  • Provide admin support and assistance for Providers and other team members.
  • Other activities and special projects as assigned by supervisor.


Monday:  9:00 AM to 5:45 PM
Tuesday:  8:15 AM to 3:45 PM
Wednesday:  9:00 AM to 6:00 PM
Thursday:  9:00 AM to 3:45 PM
Friday:  9:00 AM to 5:00 PM

Job Requirements

Required Experience:

  • Customer service: 1 year
  • Medical terminology: 1 year
  • Computer skills: 1 year

 Core Competencies Required

  • Functional & Technical Skills: Acquired proficiency in telephone switchboard. Has functional and technical knowledge and skills to do the job at an elevated level of accomplishment. Must understand medical manger software.
  • Punctuality is a must: As a receptionist, must be at the desk at opening.
  • Interpersonal Skills: Relates well to all kinds of people using diplomacy and tact. Maintains a positive work atmosphere by behaving and communicating in a manner that enables rapport with patients, co-workers, and supervisors.
  • Results Oriented: Can be counted on to meet goals successfully; is consistently a quality performer; very bottom-line orientated; maintains the highest possible standards for work product and performance.

 Languages: Must be able to read and write English. Must be able to converse in Spanish due to patient population for this office.
